Confluence Krav Maga

Confluence Krav Maga ("we," "us," or "our") runs a martial arts school. This policy describes what personal information we collect about our members and the people who enquire about joining, what we do with it, and what you can ask us to do about it.

We use a membership management platform, MyMemberForge, to run the school. It stores this information for us and sends messages on our behalf. We remain responsible for the information and for what happens to it.

1. Information we collect

We collect what you give us, and what we record while you train with us:

• Your details: name, email address, phone number, date of birth and postal address
• Membership: your plan, when you joined, your attendance, and your rank and grading history
• Payments: billing address and payment method. Card details are handled by Stripe and are never held by us or by our platform
• Messages: emails and text messages between you and the school
• Emergency contact: the name and phone number of the person you nominate
• For a child member: the same information, given and managed by a parent or guardian

2. What we use it for

• Running your membership, your billing and your account
• Taking payments and sending invoices and receipts
• Class reminders, timetable changes and attendance
• Telling you about a payment that succeeded, failed or is due
• School announcements and news, if you have asked for them
• Keeping your attendance and grading record
• Answering you when you get in touch
• Meeting our legal and accounting obligations

Messages about your money and your account — receipts, invoices, failed payments, notice that a class is cancelled — are sent whether or not you have asked for news, because they are about the arrangement between us rather than marketing. You can stop the news at any time without stopping those.

3. Text messages

If you opt in to text messages, we may send you:

• Class reminders and timetable changes
• Payment confirmations and billing alerts
• Membership updates and renewal reminders
• Grading and achievement news
• School announcements

Opt-in: text messaging is opt-in only. We will never text you unless you have agreed to it, either by ticking the box when you signed up or by turning it on in your profile.

Opt-out: reply STOP to any message to stop them, or turn them off in your profile. Reply HELP for help. Message and data rates may apply, and message frequency varies.

Carriers: our text messages are sent through Twilio. Supported carriers include AT&T, T-Mobile, Verizon and other major US carriers. Carriers are not liable for delayed or undelivered messages.

Sharing: We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

4. Who else sees it

We do not sell, rent or trade your personal information. It is seen by:

• Our instructors and staff, so far as they need it to teach you and run your account
• MyMemberForge, the platform that stores this information for us and sends messages on our behalf
• Stripe, which processes card payments
• Twilio, which delivers our text messages, and our email provider, which delivers our email
• Anyone we are legally required to tell, where the law, a regulator or a court obliges us

Each of these handles the information only to do the job we have asked of them.

5. Keeping it safe

Information is sent over encrypted connections, passwords are stored hashed rather than in readable form, and access is limited to the staff who need it. Card details are handled by a PCI-compliant payment provider and are not stored by the school.

6. How long we keep it

We keep your information for as long as you are a member, and afterwards for as long as we are required to for legal, accounting and tax purposes. You can ask us to delete what we are not obliged to keep.

7. What you can ask us to do

Depending on where you live, you may be entitled to:

• See a copy of the information we hold about you
• Have anything wrong corrected
• Have your information deleted
• Stop receiving marketing
• Withdraw your agreement to text messages

8. Children

Many of our members are children. Their information is given and managed by a parent or guardian, who can see and change it, and who can ask us to delete it on the child's behalf.

9. Changes

We may update this policy. Any material change will be posted here.
